We re-read both vendors' US pricing pages on September 7, 2026. QuickBooks now has a $0 Free plan capped at 2 invoices a month. Paid plans run from Simple Start at $38 per month to Advanced at $340. Intuit Expert Full Service Bookkeeping starts at $300 per month after a cleanup fee from $600. Intuit was showing some visitors an older grid the same day, $74, $115 and $275 for the three upper tiers. Confirm the price at checkout. Wave Starter is free forever for unlimited invoicing and basic bookkeeping. Bank feeds and receipt scanning sit on the $19 per month Pro plan, $190 a year if you prepay. The choice is less about features and more about who you are. A growing team with a CPA leans QuickBooks. A solo founder who mostly needs to get paid leans Wave.

  • The AI auto-categorization is overconfident and got about a third of our test transactions wrong, creating more cleanup than it saves.

Switching between them

  1. Export QuickBooks Online data. Use Reports to export customer list, vendor list, chart of accounts, and transactions as CSV. Invoices export separately from the Sales tab.
  2. Flatten your chart of accounts. Wave uses a simpler structure, so collapse sub accounts into parent accounts before import.
  3. In Wave, import the chart of accounts first via Accounting then Chart of Accounts then Import.
  4. Import customers and vendors via the Sales and Purchases sections. Wave auto matches on email address.
  5. Import transactions via Banking then Import then CSV. Wave auto categorizes based on the chart you set up in step 3.
  6. Rebuild invoices manually or via the Wave API. QuickBooks recurring templates do not map one to one.
  7. Cancel QuickBooks before the next billing cycle. Intuit does not pro rate mid cycle cancellations.
  8. Realistic timeline 2 to 4 hours solo for a sub 500 transaction business, a half day for anything bigger.

If you have not picked a bookkeeping tool yet, start with Wave Starter. It is free forever, unlimited invoicing is real, and your clients can pay by card or ACH from the invoice. QuickBooks Free caps you at 2 invoices a month with no accountant access. Paying $38 per month for Simple Start before you have steady revenue is a trap. Skip Wave Starter at day one only if you already sell physical inventory or run payroll. A CPA who works only in QuickBooks is the other reason.

When you outgrow Starter, the natural next move is Wave Pro at $19 per month for automatic bank feeds, not QuickBooks. Reserve the QuickBooks decision for the month you hire employees or start carrying inventory. An outside accountant who insists on it is the other trigger.

For growing teams

Past about $200,000 in annual revenue or 3 team members, QuickBooks starts to pay for itself. Wave has no inventory, project profitability, time tracking, or multi currency. Those limits compound fast once you hire employees or sell physical goods. QuickBooks Essentials at $85 per month gives you 3 users and bill management. Plus at $140 per month adds inventory and project P&L. The extra $47 to $102 per month over Simple Start costs less than the spreadsheet kludges Wave forces at this scale.

Budget realistically for the year three total cost. A 5 person services firm on QuickBooks Plus with a part time bookkeeper lands around $440 to $640 per month all in. Intuit Expert Full Service sits in the same range. The same firm cannot credibly run on Wave Pro. Pro now adds users, but it has no project profitability, no time tracking and no accountant seats. At this stage the real question is which QuickBooks tier to buy. Then decide whether you add Intuit's bookkeepers or hire a human independent of Intuit.

For enterprise

At 25 plus users or regulated data, the bookkeeping stack conversation moves past both products. QuickBooks Advanced caps at 25 users and does not cover manufacturing, complex consolidations, or multi entity reporting with the depth NetSuite, Sage Intacct, or Xero Enterprise do. Wave is out of scope entirely at this tier.

If you are still on QuickBooks at 100 plus employees, the common pattern is QuickBooks Enterprise Desktop for the finance team plus a connected reporting stack for FP&A. Cloud only scaleups typically migrate to Sage Intacct or NetSuite around the same time they hire a controller. Wave does not play in this tier, so any bookkeeping comparison at enterprise scale excludes it by definition.

Wave Pro moved from $16 per month to $19 per month in early 2026, roughly a 19 percent increase. The annual plan is $190 per year, effective $15.83 per month. The $9.50 a month intro promo ran from December 2, 2025 to January 6, 2026 and has ended. The pricing page showed no promo on September 7, 2026. The services previously bundled at $16 per month still ship on Pro, the price increase did not remove any features.

Not cleanly. Wave does not offer inventory tracking at any tier. Users running e commerce on Wave record cost of goods sold by hand. That works for a handful of SKUs and collapses past a few dozen. QuickBooks Plus at $140 per month ships full inventory tracking and integrates with Shopify, Etsy, and Amazon. If inventory is part of your business, Wave is not the right fit.
