Quick Answer

For most startup founders in 2026, n8n is the better pick. It bills per workflow execution instead of per task step, ships 70+ native AI and LangChain nodes, and gives you a free self-hosted escape hatch once volume or cost becomes painful. Zapier wins for solo non-technical founders running fewer than five simple automations, teams who refuse any devops work, and anyone needing a long-tail SaaS integration that only exists in Zapier's 8,000+ catalog.

n8n and Zapier are the two workflow automation tools every startup founder short lists when a handful of manual processes are eating their week. Zapier is the incumbent, founded 2011 in Sunnyvale, now rebranded as an "AI Orchestration Platform" with 8,000+ connected apps and a Copilot sidekick that builds Zaps from plain English. n8n is the 2025 challenger, founded 2019 in Berlin, fair-code licensed with a self-host escape hatch, 500+ integrations, and 70+ native LangChain-based AI nodes. Both let you connect tools. They price and scale in very different ways.

We researched both as of April 18, 2026. n8n Cloud Starter is €24 per month with a 14 day free trial, Cloud Pro is €60 for 10,000 executions per month, and the self-hosted Community Edition is free forever on your own server. Zapier Professional starts at $19.99 per month annual for 750 tasks, scales to $49 per month for 2,000 tasks, and Team begins at $69 per month annual with SSO. The choice is less about who has better integrations and more about whether you want per-execution billing with native AI and a self-host option, or per-task billing with the biggest integration catalog in the category and zero devops.

Which one to pick

Solo non-technical founder with 3 simple Zaps

Pick, Zapier

Zapier Pro at $19.99/mo annual plus Copilot builds a working HubSpot plus Slack plus Sheets flow in under 5 minutes, n8n's canvas and expression syntax is overkill at this tier

Technical founder building AI agents or chatbots

Pick, n8n

n8n's 70+ LangChain nodes, Chat Trigger, Vector Stores, and inline Code nodes run AI workflows natively, Zapier Agents Pro costs $33/mo extra and still bills per step

Small team automating 10+ workflows past 5,000 runs per month

Pick, n8n

n8n Cloud Pro €60/mo for 10,000 executions or self-host for $20/mo VPS is 3 to 10 times cheaper than Zapier Pro at equivalent volume

Ops team integrating a niche legacy SaaS not in n8n

Pick, Zapier

Zapier's 8,000+ app catalog covers long-tail SaaS (Gorgias, Papershift, regional CRMs) where n8n requires a custom HTTP node or a community contribution

Bootstrapped founder who wants zero subscription risk

Pick, n8n

n8n Community Edition is free forever self-hosted, full feature parity with cloud, just $10 to $20/mo VPS. Zapier has no free tier above 100 tasks per month

Non-technical team of 3 avoiding devops at all costs

Pick, Zapier

Zapier Team at $69/mo annual includes SAML SSO, shared Zaps, Premier Support, zero server maintenance. n8n Business at €800/mo is the only equivalent cloud tier

Solo founder, first year, light automator under 3,000 runs per month12 months$0 to $240 (self-host) or $240 to $660 (cloud)$240 to $588

Method. n8n Community self-hosted is free software plus $15/mo VPS = $180/yr. n8n Cloud Starter €24/mo annual rate €20/mo times 12 is €240 ($260 at 1.08 EUR to USD). n8n Cloud Pro €60/mo annual €50/mo times 12 is €600 ($648). Zapier Pro at $19.99/mo annual times 12 is $240, Zapier Pro 2K at $49/mo annual times 12 is $588. Below 2,000 tasks per month Zapier Pro is the cheapest option, especially for non-technical users who would not touch a VPS. Technical founders who like Docker get n8n free forever.

Growing startup, 3 to 10 automations, 5,000 to 15,000 runs per month12 months$648 to $1,296$1,764 to $3,600+

Zapier Pro 2K at $49/mo annual hits its cap fast, scaling to 10,000 tasks on flexible Pro pricing is roughly $150/mo ($1,800/yr), 15,000 tasks roughly $300/mo ($3,600/yr). Once you cross 5K runs per month, n8n is 3 to 10 times cheaper, the gap widens with every thousand tasks.

Team of 5 building AI workflows plus operational automations36 months$3,888 to $9,600$8,892 to $20,000+

Method. n8n Cloud Pro 50K at €100/mo annual times 36 is €3,600 ($3,888). n8n Business startup rate €400/mo times 36 is €14,400 ($15,552), standard €667/mo annual times 36 is €24,012 ($25,933). Self-hosted n8n Business license plus $50/mo infra plus 4 hours/mo devops at $100/hr over 36 months totals roughly $18,000 infra plus $14,400 license plus labor. Zapier Team starting at $69/mo annual times 36 is $2,484 plus flex task overage (average $150 to $300/mo) plus Agents Pro $33/mo plus Chatbots $67/mo totals $8,892 to $20,000 depending on usage. n8n wins decisively on AI workflow cost, Zapier wins on zero devops overhead at this tier.

Feature comparison

Integration count

n8n
500+ native
Zapier
8,000+ apps

Zapier has the biggest catalog in the category, including long-tail SaaS n8n does not cover natively. n8n handles gaps with generic HTTP Request, webhook, and custom code nodes, which works for REST APIs but requires more setup.

Billing unit

n8n
Per workflow execution
Zapier
Per task (action step)

n8n counts one run of a workflow as one execution regardless of how many nodes fire. Zapier counts every successful action step. A 5-step Zapier flow burns 5 tasks per run, the same 5-node n8n workflow burns 1 execution. This is the single biggest cost difference between the two.

Native AI nodes

n8n
70+ LangChain, vector stores, agents
Zapier
Copilot included, Agents plus Chatbots as paid add-ons

n8n ships AI Agent, Chat Trigger, LLM Chain, Vector Store (Pinecone, Qdrant, Supabase), Output Parser, and Memory nodes inline on every tier. Zapier Copilot builds Zaps from prompts for free, Agents Pro at $33/mo and Chatbots Advanced at $66/mo add autonomous AI workflows.

Self-host option

n8n
Yes (Community Edition, free)
Zapier
No

n8n Community Edition runs on Docker, npm, or Kubernetes with all 500+ integrations. Zapier has no self-host product at any tier.

Inline code nodes

n8n
JavaScript and Python
Zapier
No (Formatter only)

n8n lets developers drop raw JS or Python inside workflows. Zapier offers Code by Zapier on paid tiers for JavaScript and Python snippets, but it is a separate action and does not replace maintained custom logic.

Git or JSON export

n8n
Yes (JSON export, Git on Business)
Zapier
No public export

n8n workflows export as JSON files version-controllable in Git. Business tier includes native Git sync. Zapier does not expose a public export format, creating vendor lock-in.

Entry paid plan

n8n
€24/mo Starter (2,500 executions)
Zapier
$19.99/mo Pro annual (750 tasks)

Zapier Pro is cheaper at entry in dollar terms. n8n Starter includes more raw capacity if your workflows have more than one step per run, which is most real-world automations.

Multi-user and team features

n8n
€800/mo Business for SSO, €60/mo Pro for unlimited users
Zapier
$69/mo Team annual for SSO and 25 users

Zapier is significantly cheaper for small teams that need SSO and shared Zaps. n8n Cloud Pro allows unlimited users but reserves SSO, SAML, LDAP, and RBAC for Business at €800/mo. The n8n €400/mo startup Business rate helps teams under 20 employees.

Learning curve

n8n
Canvas-based, requires expression syntax fluency
Zapier
Vertical step list plus Copilot natural language

Zapier wins the first week of non-technical onboarding thanks to linear step builder and Copilot. n8n's canvas is more powerful at scale but has a steeper learning curve.

Reliability reputation

n8n
Capterra 4.9, G2 4.5
Zapier
G2 4.5 (1,830 reviews), Trustpilot 1.4

G2 gives both high marks. Trustpilot sentiment on Zapier is sharply negative (1.4 from hundreds of reviews) driven by surprise task overage billing and cancellation friction. n8n Trustpilot sample is smaller and mixed.

Commission economics for affiliates

n8n
30% recurring 12 months (PartnerStack)
Zapier
Pending ambassador program

n8n publicly disclosed 30% recurring for 12 months via PartnerStack. Zapier rates are gated behind ambassador program acceptance, not disclosed publicly at publish time.

Support

n8n
Forum on Starter, email on Pro and above, dedicated CS on Business
Zapier
Community on Free, email on Pro, live chat on Pro 2K+, Premier on Team

Zapier includes live chat support earlier in the pricing ladder. n8n's forum is active and responsive but Starter users are forum-only. Neither offers phone support except Zapier Enterprise.

License model

n8n
Fair-code (Sustainable Use License)
Zapier
Proprietary SaaS

n8n is source-available under fair-code, you can self-host and modify but not resell as a hosted service. Zapier is closed-source proprietary SaaS, no code access at any tier.

Execution history

n8n
7 days on Starter, 14 on Pro, 365 on Business
Zapier
Task History on all paid plans

n8n execution history lets you replay failed runs with original data, powerful for debugging. Zapier Task History shows outcomes but replay requires manually re-triggering.

Parent company

n8n

Workflow Automation

Pros

  • Fair-code Community Edition is free forever self-hosted with unlimited executions, unlimited workflows, and all 500+ integrations, a cost escape hatch Zapier cannot match at any price.
  • Native AI stack with 70+ LangChain nodes for agents, vector stores, memory, and LLM calls, so AI workflows run inline on the canvas without leaving the product or paying add-on subscriptions.
  • Billing per workflow execution instead of per action step means multi-step workflows cost the same whether they hit 3 apps or 30, which is 3 to 20 times cheaper than Zapier above 5,000 runs per month.
  • JavaScript and Python Code nodes let technical users drop custom logic inline, and workflows export to JSON for Git versioning, which Zapier does not support.
  • Active developer community of over 90,000 members, a public n8n.io/workflows template library, and a Series C war chest ($240M in October 2025) that funds 70+ new AI nodes per quarter.

Cons

  • Steep learning curve for non-technical users, especially around expressions, data shape debugging, and silent node failures, a theme that dominates Capterra and G2 negative reviews.
  • SSO, SAML, LDAP, and advanced RBAC are gated behind the Business plan at €800 per month cloud or enterprise self-host license, which puts security parity with Zapier out of reach for smaller teams.
  • Execution limits on cloud plans are hard stops not overage charges, so if you exceed your monthly allowance workflows pause until the billing cycle resets.
  • Missing native integrations for some enterprise and long-tail SaaS tools that Zapier's 8,000+ catalog covers (Gorgias, Papershift, regional CRMs, legacy tools), which can force custom HTTP node work.
  • Self-hosting sounds free but requires real devops ownership, Docker or Kubernetes, manual updates, backups, and monitoring. Budget 2 to 5 hours per month in maintenance once you have production workflows.

Workflow Automation

Pros

  • Largest integration catalog in the category at 8,000+ apps, including long-tail SaaS and legacy tools that n8n, Make, and Pipedream do not support natively.
  • Fastest time to first working automation. Non-technical founders build a useful Zap in under 5 minutes thanks to the drag-and-drop editor and Copilot natural-language Zap builder.
  • Built-in AI orchestration layer with Copilot free on every paid plan, Zapier Agents for autonomous AI teammates, and MCP server access that exposes 30,000+ Zapier actions to external LLMs.
  • SAML SSO, team sharing, and Premier Support on the Team plan at $69 per month annual make it the fastest path to enterprise-grade automation without a devops investment.
  • Reliable managed infrastructure with no server maintenance, 99.9%+ historical uptime on paid plans, and SOC 2 Type II certification.

Cons

  • Per-task pricing punishes multi-step workflows. A single Zap that updates 5 fields across 5 apps burns 5 tasks per run, so a twice-hourly Zap can exhaust the 750-task Pro tier in under 4 days.
  • Trustpilot score of 1.4 out of 5 from hundreds of reviewers, complaints center on surprise billing, task overages, and inconsistent Zap execution including duplicate records, missed triggers, and runaway loops.
  • Pricing scales steeply. Pro annual starts at $19.99/mo for 750 tasks, but 10,000 tasks per month costs roughly $300/mo and 100,000 tasks per month costs over $800/mo, often 3 to 10 times n8n Cloud Pro at the same volume.
  • AI Agents and Chatbots are priced as separate add-ons on top of the base subscription, so a team using Copilot plus Agents Pro plus one Advanced Chatbot stacks up to $150 to $200 per month in add-on fees.
  • No self-host option and no public API to export or version your Zaps in Git, which is a vendor lock-in concern for teams that care about data sovereignty or disaster recovery portability.

Switching between them

  1. Export n8n workflows. Every workflow exports as a JSON file from the canvas menu, Cloud accounts can bulk-export from the workflows list. Save the JSON files to a local folder organized by use case.
  2. Set up the equivalent Zaps in Zapier. Zapier calls them Zaps, not workflows. Pro gives you unlimited Zaps but 750 tasks per month, so prioritize the highest-value workflows first.
  3. Rebuild each workflow in Zapier's vertical step list. Copilot accelerates this, paste a plain-English description of the original n8n workflow and Copilot drafts the trigger plus actions in about 30 seconds per flow.
  4. Recreate any JavaScript or Python Code nodes in Zapier using Code by Zapier. Paid plans include it, but JavaScript Code steps count as tasks and Python Code requires the Pro plan or higher.
  5. For AI workflows, recreate agent flows in Zapier Agents (subscribe to Agents Pro at $33/mo annual) or fork them into Copilot-built multi-step Zaps. Vector store workflows will need a third-party tool like Pinecone plus Webhooks, Zapier has no native vector node.
  6. Pause or cancel n8n Cloud before the next billing cycle. If you are self-hosted, keep the instance running for 30 days as a fallback in case a Zap has a bug, then archive the Docker volumes.
  7. Realistic timeline 6 to 12 hours for a 5 to 10 workflow portfolio, longer if the n8n workflows use Code nodes or AI Agents heavily, since those do not port 1:1 into Zapier.

Status

Founded 2011 by Wade Foster, Mike Knoop, and Bryan Helmig. $1.2M seed from Bessemer in 2012, then bootstrapped and profitable. Accepted $100M+ secondary in 2021 at roughly $5B valuation, no disclosed primary funding since. Rebranded in 2025 from Workflow Automation to AI Orchestration Platform, adding Copilot, Agents, Chatbots, and MCP server. Approximately 800 employees, fully remote.

For beginners

If you are a solo non-technical founder automating 3 to 5 common tasks (new Typeform lead to HubSpot, Stripe payment to Slack, Calendly booking to Google Sheets), start on Zapier Professional at $19.99 per month annual. Copilot lets you describe what you want in plain English and Zapier builds the working Zap in about 30 seconds per flow. You will get value inside the first hour.

If you are a technical founder, even a solo one, and you are building AI workflows (agent chatbots, RAG pipelines, LLM-driven content automation) default to n8n Cloud Starter at €24 per month with a 14 day free trial. The 70+ LangChain nodes are the wedge. Zapier's AI Agents are powerful but they bill per step and cost $33 per month extra on top of the base subscription, so a 5-step AI flow running 20 times per day burns through the 750-task Pro limit in 7 to 10 days. n8n runs the same flow on one execution per run.

For non-technical beginners who want to keep options open, start on Zapier Free (100 tasks per month, 2-step Zaps) and validate that automation helps your business before you pay. Graduate to Pro once you cross 50 tasks per month, which usually takes 2 to 3 weeks.

For growing teams

Past 5 team members or 5,000 workflow runs per month, n8n's economics pull ahead fast. n8n Cloud Pro at €60 per month (€50 on annual) covers 10,000 executions. Zapier Pro 2K at $49 per month covers 2,000 tasks, which maps to roughly 400 runs of a 5-step workflow, one fifth the capacity at the same price.

The tipping point is AI workflows. A startup running an AI support chatbot with retrieval plus tool calls can easily burn 20 to 50 steps per conversation. On Zapier Agents Pro at $33 per month annual plus Pro 2K at $49 per month, one active chatbot handling 10 conversations per day can exhaust the task budget in under 2 weeks. On n8n Cloud Pro, the same AI Agent runs as one execution per conversation regardless of step count.

For teams that need SSO and shared Zaps without devops, Zapier Team at $69 per month annual is cheaper than n8n Business at €800 per month. This is the Zapier strategic moat, non-technical teams scaling to 10 or 20 people can get SSO for under $100 per month. n8n's startup Business rate (€400 per month for under 20 employees) narrows the gap but Zapier Team is still the cheapest SSO option if your workflows stay under 10K tasks per month.

Realistic budget, a 3 to 5 person team on n8n Cloud Pro plus a €120 per month Pro 50K if needed runs €60 to €120 per month. On Zapier Team plus Agents Pro plus Chatbots Advanced plus flex-tier task overage, the same team runs $300 to $700 per month. Technical teams that can absorb the n8n learning curve save 5 to 10 times the subscription cost at this tier.

For enterprise

At 25 or more seats, multi-region automations, or any automation that touches customer data and requires SOC 2 plus SSO, both vendors have credible offerings but the price and control tradeoff is stark. n8n Business at €800 per month cloud (€667 annual) or Enterprise self-hosted includes SSO, SAML, LDAP, advanced RBAC, audit logs, Git versioning, 365 day execution history, and dedicated CS. Zapier Enterprise is custom-quoted, typically $5,000 to $20,000 per month depending on task volume and user count, and includes VPC Peering, advanced admin controls, observability, and a dedicated Technical Account Manager.

The decision at this tier pivots on three questions. First, do you want data sovereignty. n8n Enterprise self-hosted runs inside your VPC and never sees your data, Zapier always processes data through its cloud. Second, do you already have a devops team. If yes, n8n self-hosted Enterprise is significantly cheaper for large task volumes. If no, Zapier Enterprise removes the infrastructure burden at the cost of per-task billing. Third, how AI-heavy is your automation roadmap. n8n's inline LangChain stack and vector store nodes handle agentic and RAG workflows at one execution per conversation, Zapier Agents bills per step which compounds fast on AI loads.

Run a 30 day paid proof of concept on both if the decision is consequential. Test three workflows, a lightweight CRM sync, a multi-step data pipeline with 10+ steps, and an AI agent loop with tool calling and memory. Measure total cost, reliability, and time to build on each. Enterprises that picked n8n in 2025 and 2026 cite AI workflow cost and self-host compliance as the two deciding factors. Enterprises that picked Zapier cite integration breadth for long-tail enterprise SaaS and zero devops overhead.

FAQ

n8n is the better default for most startup founders in 2026, especially technical founders and teams building AI workflows at any scale. It bills per workflow execution instead of per task step, ships 70+ native LangChain AI nodes, and offers a free self-hosted Community Edition that removes vendor lock-in. Zapier is the better default for solo non-technical founders running fewer than 5 simple Zaps, teams that refuse any devops work, and anyone needing a long-tail SaaS integration that only exists in Zapier's 8,000+ catalog.

At 5,000 workflow runs per month, n8n Cloud Pro is €60 per month (about $65) for 10,000 executions, or free on self-hosted Community Edition plus $15 per month for a VPS. Zapier equivalent at 5,000 tasks per month (counting 5 steps per run as 25,000 tasks) is roughly $150 to $200 per month on flexible Pro tiers. At 10,000 runs per month with 5 steps each (50,000 tasks), n8n stays at €60, Zapier climbs to $300+ per month. n8n is 3 to 10 times cheaper above 5K runs, the gap widens with every thousand additional workflow runs.

Yes. n8n Community Edition is free forever on your own infrastructure under the fair-code Sustainable Use License. It includes all 500+ integrations, unlimited executions, unlimited workflows, and the full 70+ AI node library. You cannot resell n8n as a hosted service to third-party customers without a commercial license. Self-hosting requires Docker, npm, or Kubernetes knowledge, a VPS or server ($10 to $50 per month), and 2 to 5 hours per month in maintenance for updates, backups, and monitoring. Zapier has no self-host option at any price tier.

Zapier yes, n8n mostly no. Zapier's vertical step builder plus Copilot natural-language Zap building is designed for non-technical users, you can build a working 5-step Zap in under 5 minutes. n8n's node canvas is more powerful but requires learning expression syntax ({{ $json.fieldName }}), understanding data shape (items array), and debugging silent node failures. Non-technical users usually hit a wall in their first week on n8n. Technical users report productivity jumping past Zapier by week 3 on n8n.

A Zapier task is one successful action step. A Zap that updates Salesforce, then sends a Slack message, then writes to Google Sheets consumes 3 tasks per run (the trigger does not count). An n8n execution is one full run of a workflow, no matter how many nodes it contains. A 3-node n8n workflow and a 30-node n8n workflow each count as one execution. This is why per-task billing compounds faster on multi-step workflows and is 3 to 20 times more expensive at scale on Zapier.

Yes if you are on Business tier or self-host with standard hardening. n8n Business plan at €800 per month (€400 for startups under 20 employees) includes SSO, SAML, LDAP, advanced RBAC, audit logs, and SOC 2 Type II certification. Smaller teams on Starter or Pro cloud plans do not get SSO or fine-grained roles, which can be a blocker for security-conscious companies. Self-hosted Enterprise includes all security features and runs inside your VPC. Zapier includes SAML SSO at the $69 per month Team tier, which is cheaper for small teams that just need SSO and do not need self-host.

n8n leads decisively on AI workflow economics and flexibility in 2026. It ships 70+ LangChain-based nodes (AI Agent, Chat Trigger, Vector Store for Pinecone and Qdrant and Supabase, LLM Chain, Memory, Output Parser) inline on every tier including the free self-host. Zapier ships Copilot for free on paid plans (natural-language Zap building), but autonomous AI workflows require Zapier Agents Pro at $33 per month annual and customer-facing AI chat requires Chatbots Advanced at $66 per month annual, both billed per step against your task budget. For AI-first startups, n8n is the dominant choice. For adding AI to existing Zapier workflows, Copilot is a zero-cost upgrade.

How we tested

Compared 2 products across pricing, features, support, and real user complaints.

We compared n8n and Zapier on pricing, free tier availability, features, integrations, support, reputation, AI workflow economics, and affiliate economics. Prices were captured April 18, 2026 from both vendors pricing pages and cross checked against our internal service reviews. Zapier restructured its pricing in late 2025 around the AI Orchestration platform rebrand, with Agents and Chatbots priced as separate add-ons on top of the base Pro or Team subscription. n8n publishes pricing in EUR on n8n.io/pricing, we converted to USD at 1.08 EUR/USD for same-currency comparisons. Pros and cons are drawn verbatim from the production copy on our /reviews/n8n and /reviews/zapier pages, which are themselves sourced to vendor docs, Capterra and G2 and Trustpilot scores, and independent reviews on Reddit r/nocode and r/automation.
